In short: we only collect what we need to teach your child well, we never sell your information, and you can ask to see, correct or delete it at any time.
1. Who we are
AHA Learning (ABN 69 595 445 148) provides online Science and Biology tutoring for NSW students in Years 7–12. Lessons are taught by a qualified NSW teacher. In this policy, “we”, “us” and “our” mean AHA Learning, and “you” means the parent, guardian or student using our services.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
2. What we collect
- Contact details: the names, email addresses and phone numbers of parents, guardians and students.
- Student details: year group, school and the subjects and topics you’d like help with.
- Learning information: results from the AHA Check-in assessment, class work, practice exam results and notes on progress.
- Learning needs (optional): anything you choose to tell us about how your child learns, such as a learning difficulty, anxiety or an EAL/D background. This can be sensitive, so we only collect it with your consent and only use it to support your child.
- Booking and payment records: session bookings, enrolments, invoices and payments. We don’t store card or bank details ourselves.
3. How we collect it
We collect information directly from you when you book an AHA Check-in through our online booking form, register your interest in a class or send us a message through the forms on our website, contact us by email or phone, enrol in a class, or take part in lessons. If a student is under 18, we ask that a parent or guardian provides or approves their information.
4. How we use it
- To run the AHA Check-in and recommend the right class.
- To plan and teach lessons that suit each student’s needs.
- To keep you updated on progress, timetables and term dates.
- To manage enrolments, invoices and payments.
- To meet our legal obligations, including child safety requirements.
We won’t use your information for anything unrelated to your child’s tutoring without asking you first, and we will never sell or rent it to anyone.
5. Services we use
We use a small number of trusted services to run AHA Learning. They may store information on servers outside Australia, including in the United States:
- Calendly: to book AHA Check-ins (stores your booking details and form answers).
- Google (Gmail and Google Meet): for email and online lessons.
- Netlify: to host our website and receive the enquiries and messages submitted through its forms (stores the details you enter).
- Stripe: to process card payments. Your card details go directly to Stripe and are never stored by us.
We only share what each service needs to do its job.
6. Online lessons
Lessons run live on Google Meet. We do not currently record lessons. If this ever changes, we will tell you first and ask for your consent. We ask that students and families don’t record lessons either, to protect the privacy of everyone in the class.
7. When we may disclose information
We will only share personal information with others when you’ve agreed to it, or when we’re required or permitted by law. This includes reporting a concern about a child’s safety or wellbeing to the appropriate authorities.
8. Keeping it safe
We store information in password-protected accounts and devices, and we only keep it for as long as we need it to teach your child and meet our legal and tax obligations. After that, it is securely deleted.
9. Our website
Our website doesn’t use advertising or tracking cookies. The booking calendar is provided by Calendly, which may use its own cookies when you book. Calendly’s privacy policy explains how it handles this information.
10. Accessing, correcting or deleting your information
You can ask to see the information we hold about you or your child, ask us to correct it, or ask us to delete it, at any time. Email us and we’ll respond within 30 days.
11. Questions or complaints
If you have a question or concern about privacy, please contact us first and we’ll do our best to resolve it:
- Email: info@ahalearning.com.au
- Phone: 0424 172 417
If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
